Do I need an admin account to back up all data?

This article explains how your account permissions in a connected app affect the scope of your ProBackup data.

How permissions affect your backup

ProBackup can only back up data that the authorised user has access to. This means your backup scope depends on the permissions of the account used to connect the app.

In most apps:

  • Admin accounts can access all workspaces, projects, and boards, ensuring a complete backup.

  • Member accounts can typically access shared data, but may not have visibility into private spaces or boards owned by other users.

  • Read-only or guest accounts may work for basic data, but private or restricted areas are usually excluded.

If the app contains private spaces or boards that none of the connected users can access, those sections will not be included in the backup.

How to ensure a complete backup

  • Connect an account with admin-level access to cover all data.

  • Invite additional team members who have access to workspaces or projects the admin cannot reach.

  • Consider creating a dedicated backup account (e.g. [email protected]) and ask your team to invite it to all projects and boards.
