How to use ProBackup directly in HubSpot

ProBackup now includes a dedicated app experience within HubSpot. You can view deleted records, check backup status, and manage settings without leaving your HubSpot account.

ProBackup Deleted Records object

ProBackup creates a custom object called "ProBackup Deleted Records" in your HubSpot account. This table automatically collects all records deleted from your HubSpot, including contacts, deals, and other CRM objects.

Unlike HubSpot's native trash system, which permanently removes items after 90 days, ProBackup retains deleted records according to your data retention settings. This means you can recover records that were deleted months or even years ago.

To access deleted records:

  1. Click the HubSpot Marketplace icon in the left menu bar.

  2. Click "ProBackup" to open the app homepage.

  3. Scroll down to "Deleted records" and click "View deleted records".

From this view, you can:

  • Search and filter deleted records by type, date, or ID

  • Click any record to view its details and backup link

  • Select records to edit, delete, or add to workflows

Each deleted record includes a direct link to your ProBackup vault, where you can view the full record history and restore it if needed.

The ProBackup homepage in HubSpot provides a quick overview of your backup status and storage usage.

To access the homepage:

  1. Click the HubSpot Marketplace icon in the left menu bar.

  2. Click "ProBackup".

On the homepage, you can see:

  • Backup status: The date of your last successful backup and connection status.

  • Data storage: How much of your storage quota is being used.

  • Deleted records: Quick access to view all deleted records.

  • Go to vault: A direct link to your ProBackup account where you can browse backups and restore data.

ProBackup settings in HubSpot

You can review and update your ProBackup settings directly from HubSpot's Connected Apps section.

To access settings:

  1. Go to "Settings" in HubSpot.

  2. Navigate to "Integrations" then "Connected Apps".

  3. Click "ProBackup".

  4. Click the "Settings" tab.

From the settings page, you can configure:

  • Status email: Choose to receive backup status updates weekly, monthly, or never.

  • Data retention for versions: Set how long older versions of records are kept (6 months, 1 year, or 2 years).

  • Data retention for deleted items: Set how long deleted records are retained in your backup.
