Why do invited users need to authorize Pro Backup?

When you invite a user to an app, they need to create their own Pro Backup account and authorize Pro Backup for that app. The reason for this is threefold:

1. To expand the backup scope

Sometimes the backup admin does not have access to all important data of his cloud app. This is often the case when teams are divided into different departments that have their own workspace within the app (e.g. Product, Sales, HR, etc).

In this case the admin can back up the other workspace(s) by inviting team members from the other department(s). This means that the backup scope will be expanded with the new data of the invited users.

Example: If the admin only has access to workspace A and invites a team member that has access to workspace B, then both workspace A and B will be backed up.

2. To restrict the access to the data backups

By default an invited user can only see the backups of the data that they have access to as well in the app itself. To be able to know what each invited user has access to, we need them to authorize Pro Backup.

Example: If the admin has access to workspace A and B and the invited user has only access to workspace A, then the invited user cannot view any data backups related to workspace B.

On Settings > Connections the admin can choose if an invited user has restricted or full access to the data backups.

Note: The backup admin will always have access to all data backups.

3. To have an extra fall-back for the connection to the app

In some cases the authorization token of the backup admin can expire or be revoked. If this happens, we are no longer able to back up the app's data through the admin's account.

However, if the admin has invited extra team members to his account, then we are able to continue the data backups through the accounts of the invited team members. In this way inviting team members helps to secure a stable connection to your cloud apps.
