This article explains how to manage your backup scope in ProBackup by including or excluding specific workspaces, projects, lists, or boards.
Managing workspaces
For most apps, ProBackup controls the backup scope at the workspace level.
On the Home page, click "Go to..." for the relevant app.
Navigate to the Scope tab.
Use the checkboxes to include or exclude workspaces from the backup.
Note: For certain apps, such as HubSpot, ProBackup backs up the entire account by default and workspace selection is not available.
Adding a workspace that is not listed
If a workspace does not appear in the list, you can add it in one of two ways:
Reconnect your account – go to Settings > Apps and click "Reconnect" next to the app. On the authorisation screen, select the additional workspace(s) you want to include.
Invite a team member – invite a team member who has access to the missing workspace. They will be able to select and authorise it during their onboarding.
Excluding specific projects, lists, or boards
Premium users can exclude specific items within a workspace to fine-tune the backup scope.
On the Home page, click "Go to..." for the relevant app.
Navigate to the Scope tab.
Click "Exclude items" next to the relevant workspace.
Use the search bar to find the items you want to exclude and check the box next to each one.
A counter will appear next to the workspace name showing how many items have been excluded.
The wording and available exclusions vary by app:
Asana – exclude specific projects
ClickUp – exclude specific lists
Trello – exclude specific boards
HubSpot – not available, all CRM modules are backed up by default
Note: Advanced scope control is available on the Premium plan only.
