This article explains how to manage your backup scope in ProBackup by including or excluding specific workspaces, projects, lists, boards and similar items. Scroll down for the complete overview of what you can exclude per app.
Managing workspaces
For most apps, ProBackup controls the backup scope at the workspace level. Depending on the app, the "workspace" can also be a base (Airtable), a space (Confluence), a site (Webflow), a project (Jira), a repository (GitHub), a team (Linear) or a user (Google Workspace). See the overview at the bottom of this article.
On the Home page, click Go to … for the relevant app.
Click Scope at the top right of the page.
The Active tab lists everything that is backed up. To stop backing up an item, click the ⋮ menu next to it and choose Exclude … (for example Exclude Workspace).
Click Confirm.
To back up an excluded item again, open the Excluded tab and click the + icon next to it.
Note: ProBackup stops backing up an excluded item right away. Its existing backup data is permanently removed within a day and your storage usage is adjusted. Excluded something by mistake? Re-include it immediately.
Note: For certain apps, such as HubSpot, ProBackup backs up the entire account and the Scope button is not shown.
Adding a workspace that is not listed
If a workspace does not appear in the list, you can add it in one of two ways:
Reconnect your account – go to Settings > Apps and click Reconnect next to the app. On the authorisation screen, select the additional workspace(s) you want to include.
Invite a team member – invite a team member who has access to the missing workspace. They will be able to select and authorise it when they connect the app. See How to back up multiple workspaces or teams.
Excluding specific projects, lists, or boards
For some apps you can also exclude specific items within a workspace to fine-tune the backup scope. This is available on every plan.
On the Home page, click Go to … for the relevant app.
Click Scope at the top right of the page.
Click the ⋮ menu next to the relevant workspace and choose Exclude … (for example Exclude Lists).
Use the search field to find the items you want to exclude and select each one.
Click Confirm.
A counter appears next to the workspace name showing how many items have been excluded. Everything inside an excluded item (for example the tasks, comments and attachments of an excluded list) is excluded as well. To include an item again, open the same dialog and click the x next to its name.
What you can exclude per app
The first column is what you can exclude from the Scope panel. The second column is what you can exclude inside a workspace, if available for that app.

Apps without scope selection: for HubSpot, Pipedrive, Zendesk, DocuSign, Teamwork, Miro and Vanta, ProBackup backs up the entire account and there are no include/exclude options.
