Here's an overview of the data types that ProBackup can restore for monday.com.
Boards
Restoring a board creates a new board "
(restored
)" in the original workspace.
Restored: groups, columns, items with their values, first-level subitems, updates, files in file columns, and Docs in Doc columns.
Not restored: views, automations, board permissions and subscribers. Multi-level boards are restored as classic boards.
These column values cannot be restored (monday.com API limits): Connect boards, Mirror, Button, Vote, Last updated, Creation log, Item ID, Color picker, Time tracking, Rollup. Formula, Progress and Auto number columns are recreated; monday.com recalculates their values.
Items
Option 1: Restore as new records (Recommended)
Creates a copy of the selected items in the original board: name, column values, subitems, updates (not the activity log), files in file columns and Docs in Doc columns. Connect boards and Mirror columns are not restored. Existing items are not touched. ProBackup adds an update "Restored from backup, original id: …" to each restored item. Safest option.
Option 2: Overwrite existing records
Rolls an existing item back. A field picker lets you choose which columns (and name/group) to overwrite. Only available if the item still exists.
Updates (comments)
A restored update is posted on the original item by the account connected to ProBackup, with the original author and date in the text. Replies and reactions are not restored.
Files
A restored file is re-uploaded to the item's first file column (the item needs one) or to its update. Files linked from SharePoint, Google Drive, Dropbox, etc. are not backed up; only the link is.
Columns
Restoring a column adds it back to the original board and refills its values for all items.
Docs (Workdocs)
Workspace Docs are restored as a new Doc "
(restored
)" in the original workspace. A Doc inside a Doc column can't be restored on its own: restore its item, and the Doc comes back as a new Doc on that item.
What comes back:
Text, headings, lists and other text blocks, in their original order.
Tables and layouts, with the content of each cell. Column widths and cell styling are not restored.
Images, videos and GIFs are replaced by a line "[ProBackup] Image could not be restored" (or Video/GIF).
@mentions and column references become plain text.
The restore report lists every block that was replaced or could not be restored. Keep the original Doc if it still exists.
Good to know
Restores go to the original board or workspace.
People who left the account can't be re-assigned.
Link columns (e.g. SharePoint URLs) are restored as links.
Large boards take a while: every value, file and update is restored one by one.
